Terms and Conditions governing your transactions with Leading Edge Travel Management Pvt Ltd AND Air Club Travel Services.
Itinerary Disclaimer
The information in this trip document has been compiled with care and is provided in good faith. However, it is subject to change, and does not form part of the contract between the client and the operator. The itinerary featured is correct at the time of printing, however it may differ slightly to the one presented earlier or the one followed finally. Sometimes itineraries are altered for operational convenience and at other times due to weather constraints or sudden repair work where roads may be closed and diversions necessary. The itinerary is brief, as we never know exactly where our journey will take us. Due to our style of travel and the regions we visit, travel can be unpredictable. The Trip Details document is a general guide to the tour and region and any mention of specific destinations or wildlife is by no means a guarantee that they will be visited or encountered. Aboard expedition trips to sensitive installations, visits depend on final permission. Additionally, any travel times listed are approximations only and subject to vary due to local circumstances. Itinerary and pictures are for presentation purpose only & they may / not depict the original. Ultimately, our goal is to provide you with the most rewarding experience.

Leading Edge Travel Management Pvt. Ltd. act only in the capacity of an agent for contracted travel-related services. All travel arrangements hotels and tours included in trips are made on participants or agents' behalf upon the express condition that neither Leading Edge Travel Management Pvt. Ltd. nor its agents shall be liable or responsible in the absence of its / their negligence for any direct, indirect, consequential harm, or irregularity of any kind which may be accessioned by reason of any act or omission of any person or entity, inducing without limitation, any act of negligence or breach of contract of any third party such as airline, train, coach, private car, cruise vessel, boat, or any other conveyance, hotel, sightseeing provider, local ground-handler, restaurant, etc., which is to or does supply any goods or services for trips. Participants and agents understand that Leading Edge / Air Club neither owns nor operates such third party suppliers and accordingly agrees to seek remedies directly and only with those suppliers and not hold Leading Edge Travel Management Pvt. Ltd. responsible for their acts, omissions or commissions. Without their limiting the foregoing, Leading Edge Travel Management Pvt. Ltd & Air Club Travel Services are not responsible for any losses or expense due to the delay of changes of schedule, over booking of accommodations, default of any third parties, sickness, weather, strike, acts of God, acts of terrorism, force majeure, acts of government's civil disturbances, war, quarantine, customs regulations, epidemics, criminal activity or for any other cause beyond its control. All such losses or expenses have to be borne and paid for by the participant or agents.
Arrival Transfer
Your arrival transfer will be arranged based on flight information provided to us. If we are advised of a flight schedule change within 48 hours of your scheduled arrival time, we will do our best to rearrange your arrival transfer however we cannot guarantee this. If your arrival transfer does not arrive within 30 minutes after you have exited the arrivals area please take a taxi to your start point hotel only after registering a complaint on the emergency number provided.
Arrival Complications
We don’t expect any problems, and nor should you, but if for any reason you are unable to commence your trip as scheduled, as soon as possible please contact us and update us of your situation. If you have pre-booked an airport transfer and have not made contact with our representative within 60 minutes of landing the driver will head back to the city and you will need to make your own way to the Starting Point hotel at own expense. Please keep your duty free shopping for later.
Emergency Contact
Should you need to contact us during a situation of dire need, it is best to first call either the local emergency numbers provided or then our main head office. If for any reason you do not receive an immediate answer, please leave a detailed message and contact information via email or Whats AP so that we may return your call and assist you as soon as possible.
Local Flights
If required all local flights are either included in the cost of your tour or left for you to book on miles or though local contacts, as you deem appropriate. If you choose to book your internal flights through us it is important that we have your passport information at the time of booking in order to process these tickets. Internal flight tickets are issued locally and will be given to you prior to the flight departure or emailed as the case may be.
Accommodation
A variety of accommodation standards are available across the program. Though all may be graded in the same class they may differ in appearance, product quality and service and amenity standard. Please remember that hotel / lodge / resort standards can be different from what you are used to in your home country. Each hotel offers detailed information on their websites and it is imperative you study those prior to confirming your travel. The general criteria to opt for a particular hotel is either the budget or the demand of the program for you to be placed there. Allocation of rooms, early check in, late check out, particular view or bed size will all be subject to hotel discretion only.
Porterage
Is never included and needs to be paid for directly at most hotels and airports.
Transportation
Many of the land transfers and included tours will be by private vehicle of appropriate brand and size as necessary for the group. Some tours and transfers may be shared with other travellers depending on availability, nature of the activity and destination. For transfers, you may have a local non-English speaking driver only, for included tours, you will be accompanied by an English speaking local guide. Please refer to your trip quote for details.
Entrance fees / Ride / Photography fees etc
Unless otherwise specified in the tour quote entrance fees to all monuments & parks of visit, Camera and photography charges if applicable, boat, animal or other joy rides and show tickets are all payable directly by each guest. Each monument has its own ticket office, which clearly displays the applicable fees. You may also check for combination tickets where available as these cover multiple monuments under one ticket. On request we could work at including these fees for you where possible but in case you chose to skip anything while on the tour or are unable to see a monument due to it being closed there will be no refunds possible for unused tickets, hence we recommend you pay as you go along.
Tipping
It is customary in India to tip service providers such as porters, waiters, drivers and local guide(s) depending on the service. Tipping is an expected component of your tour program and an expression of satisfaction for the persons who have assisted you on your tour. Although it may not be compulsory , it is of considerable significance to the people who will take care of you during your travels. Certain hotels and restaurants levy a service charge hence in this situation there is no need for additional tips.
Meals
Eating is a big part of traveling, where you experience the vast array of wonderful food that is available locally. Usually meals are not included in the trip price when there is a choice of eating options, to give you the maximum flexibility in deciding where, what and with whom to eat. It also gives you more budgeting flexibility, though generally food is reasonably priced. Your tour guide will be able to suggest restaurants during your trip and it is recommended you chat with your hotel staff as well to get some latest updates on what’s new and happening in your city of visit.
What to Take
Most people automatically assume that the weather is hot in India but that is not so all year round. India see’s 3 distinct seasons – Summer (March – June), Monsoon (July – September) and Winter (October – February). Temperatures vary across seasons and across the various states and cities in the Country. You are recommended to check details online reference your places of visit and pack appropriately.
Visas
All countries require a valid passport (with a minimum 6 months validity). Contact your local embassy, or consulate for the most up-to-date visa requirements, or see your local travel agent. IT’S YOUR RESPONSIBILITY TO HAVE THE CORRECT TRAVEL DOCUMENTATION.

Health
It is recommended to consult with your doctor for up to date medical travel information before departure. We recommend that you carry a First Aid kit and hand sanitizers / antibacterial wipes as well as any personal medical requirements. Please be aware that at times you could be in remote areas and away from medical facilities, and for legal reasons our staff are prohibited from administering any type of drug including headache tablets, antibiotics, etc. When selecting your trip please carefully read the itinerary, research the destination online to understand it better and determine your ability to cope with the selected destination and style of travel. If your tour involves travel to high altitude (this is medically defined as anything over 8,000 feet (2,440 meters) altitude sickness can on set with some people irrespective of fitness and age. For details on how to best prepare and what to do in the unlikely event you are affected on your adventure, please consult your physician.
Physical Form
It is very important to note that an average level of fitness and mobility is required to undertake our programs. Travellers must be able to walk without the aid of another person, climb flights of stairs, step on and off small boats, and carry their own luggage at times. Travellers with a pre-existing medical condition are required to let us know of the same well in advance to enable us to make appropriate recommendations for the tour. In case we are not pre-informed of medical and physical challenges we will not be responsible to accommodate last minute amendments due to the prepaid nature of most of the activities and services booked.
Travel Insurance
Travel insurance is compulsory in order to participate on any of our trips. When selecting a travel insurance policy please bear in mind that all clients must have medical coverage. We strongly recommend that the policy also covers personal liability, cancellation and amendments, curtailment of the tour and loss of luggage and personal effects. Contact your bank for details of their participating insurer, the level of coverage and emergency contact telephone number.
Spending Money
Every traveller is different and therefore spending money requirements will vary. Some travellers may drink more than others while other travellers like to purchase more souvenirs than most. Please consider your own spending habits when it comes to allowing for drinks, shopping and tipping.
Emergency Fund
Make sure you have access to at least an additional USD $200 (or equivalent) as an ‘emergency’ fund, to be used when circumstances are outside our control (ex. a natural disaster) require a change to our planned route. This is a rare occurrence!
Money Exchange
Credit cards are very useful for large purchases done at graded shops and when you choose to fine dine. Visa / Master cards are the most widely accepted cards. American Express is also accepted but you may not find too many takers for these due to the high transaction fees levied. While ATMs are widely available some may not accept all international credit or debit cards. You may need to try at more than one machine if the first one does not accept your card. You should also check with your bank before leaving to ensure that your card works internationally. You should be aware that to purchase products or services on a credit card a fee of 1.5 - 4% usually applies. Do not rely on credit or debit cards as your only source of money. A combination of cash and cards is best. Always take more rather than less, as you don’t want to spoil the trip by constantly feeling short of funds. Please also bring bank notes in denominations smaller than 100 as well for ease of tipping and to pay for small purchases.
Safety and Security
Many national governments provide a regularly updated advice service on safety issues involved with international travel. We recommend that you check your government’s advice before departure. We strongly recommend the use of a neck wallet or money belt while travelling, for the safe keeping of your passport, air tickets, travellers’ cheques, cash and other valuable items. Leave your valuable jewellery at home – you won’t need it while travelling. Many of the hotels we use have safety deposit boxes, which is the most secure way of storing your valuables. A lock is recommended for securing your luggage. When travelling on your trip, please note that we retain the authority to amend or cancel any part of the trip itinerary if it is deemed necessary due to safety concerns.
During your trip you will have some free time to pursue your own interests, relax and take it easy or explore at your leisure. While your guide, driver or hotel staff will assist you with options available in a given location please note that any optional activities you undertake are not part of your itinerary, and we offer no representations about the safety of the activity or the standard of the operators running them. Please use your own good judgment when selecting an activity in your free time. Although the cities visited on tour are generally safe during the day, there can be risks to wandering throughout any major city at night. It is our recommendation to stay in small groups and to take the hotel prepaid taxis to and from restaurants, or during night time excursions. As a thumb rule stay indoors before sunrise and after sunset unless you are in a group or have a reliable and pre-booked mode of transportation available with you. Protests and demonstrations, even those that are well intended, have the potential to turn violent with no warning. Counter protests can also turn violent. Action by security forces to disperse demonstrators and protesters may occur at any time. If you are in an area where demonstrators or protesters are gathering, avoid the temptation of staying for a good photo opportunity and leave the area immediately.
A Couple of Rules
Illegal drugs will not be tolerated on any trips. Possessing or using drugs not only contravenes the laws of the land but also puts everyone involved with your tour at risk. Smoking marijuana and opium is a part of local culture in some parts of the world but is not acceptable and legal in India and on our tours. Our philosophy of travel is one of respect towards everyone we encounter, and in particular the local people who make the world the special place it is. We have the right to discontinue the tour immediately without any refunds in case any traveller is found in violation of this rule.
Optional / Additional Activities
Optional activity prices are subject to change dependent on seasonality or min and max numbers (where applicable). Availability may depend on the season or weather conditions. Generally adequate rest and personal times are made available in all tours but in case you wish to plan more and fill in those free times too our local representatives can help you plan things at a fee payable directly. Any additional or last minute diversions included in the original itinerary may also require you to settle additional expenses directly with our local vendors.Adventure activities have an element of danger and excitement built into them. We recommend only participating in these activities when accompanied by a trained and licensed instructor. Swimming and water, mountain or adventure activities are always at your own personal risk.
Amendments and Cancellations
Refunds if any will be made less of administration charges on the cancellation of confirmed bookings as per the policy advised at the time of confirmation. No refund will be made against customer failure to show up on the day of departure or amendment / cancellation within guarantee period. All flights, excursion tickets and daily tours and activities are strictly non-refundable once guaranteed.
Shopping Disclaimer
We do not take any responsibility for any items purchased at shops during the tours. Any after service must be between consumer and shops. Leading Edge Travel Management Pvt. Ltd. / Air Club Travel Services DOES NOT represent or promote any shops for shopping. Guides / drivers may entice you to shop at particular shops please beware and refuse if not interested as we will not be responsible for your purchases.
All other such terms and conditions introduced subsequently, and not noted above will automatically be binding to the said reservation. Client acknowledges that he / she has carefully read and fully understands the above and that this is a waiver and release of liability.
